Situation at TIBCO Software Before Oracle WebCenter Implementation

TIBCO Software’s manual invoice processing was inefficient, labor intensive, and time-consuming. Accounts Payable (AP) resources were utilized to manually enter more than 50,000 invoices into Oracle E-Business Suite (EBS). It quickly became necessary for TIBCO to reduce invoice processing time and costs with AP automation. They also faced a strict timeline as the Flash component of Kofax MarkView, TIBCO’s legacy application, would be de-supported at year-end.

TIBCO looked at two options to meet their needs: Upgrade MarkView or move to Oracle WebCenter. TIBCO selected Oracle WebCenter to automate business processes and reduce manual data entry, specifically by:

  • Automating manual exception processing to decrease overall processing time
  • Enhancing the end user experience by streamlining approval processes
  • Providing an easy-to-use AP Invoice Dashboard for tracking invoice status and to support invoice self-service
  • Providing an option to approve invoices directly via email
  • Eliminating dependency on 3rd-party software for future-proofing and additional flexibility
  • Maintaining a strong security policy by eliminating use of Adobe Flash

AST did a fantastic job in implementing OWC (WebCenter), replacing the existing Kofax (MarkView) application that was on life support and was to become obsolete in December 2020 (due to Adobe Flash dependency). Considering OWC as a tightly integrated add-on for our existing Oracle application portfolio, we had very high expectations for the new system. AST was able to enable OCR processing along with very detailed workflow approval custom requirements, including an imaging data conversion exercise from the MarkView platform to OWC in a very seamless manner. Overall, It was a great team effort and AST pulled off this implementation successfully within 16 weeks.
